B2B software
How to choose B2B SaaS software: 8 criteria
Real need, pricing, trial, security, data, support, integrations, exit - a simple checklist for choosing B2B SaaS software.
SaaS ("software as a service") is used online, by subscription, with nothing to install. It has become the norm for businesses. But with dozens of similar offers, choosing is not easy. Here are eight criteria to decide with confidence.
1. The real need
Start from the problem, not the tool. Write down in two or three sentences what the software must do, for whom and with what expected result. A tool that does many things but not that one is the wrong choice.
2. Clear pricing
A good vendor shows its prices, or at least a starting price, before you get in touch. Check what makes the bill change: number of users, volume, options. Watch out for hidden costs: setup, training, usage fees.
3. A trial or a demo
Test with your own cases before committing. A free trial or a short demo lets you check that the tool is easy for your teams to pick up.
4. Security
Ask precise questions: secure login, two-factor authentication, permission management, backups, activity log. A serious vendor answers clearly.
5. Your data
Where is it stored? Who can access it? Can you export it easily? In Europe, GDPR compliance needs checking, with a data processing agreement if required.
6. Support
If something goes wrong, who do you talk to, in which language and how fast? Test the support during the trial: it is often revealing.
7. Integrations
The software should fit the way you work: connection to your existing tools, a documented API, exports. An isolated tool creates double data entry.
8. Exit options
Can you stop easily? Do you get your data back? How long is the commitment? A short or monthly commitment limits the risk.
A three-step method
- Shortlist: three tools at most that meet the need and show clear prices.
- Test: a trial or demo with a real case from your company.
- Decide: compare on these eight criteria, then start small before scaling up.
The RankoGroup approach
At RankoGroup, we design B2B software along these principles: prices shown excluding VAT, a simple start, two-factor authentication, and teams of AI agents led by humans that do the work for our clients. Also read: what AI agents really do in a company.
Frequently asked questions
Should I always try SaaS software before buying?
It is strongly recommended. A trial or demo with your own cases avoids bad surprises.
Is an annual commitment a good idea?
It can lower the price, but start with a short period until you are sure about the tool.
What should I check about personal data?
Where it is stored, who can access it, whether you can export it and, in Europe, GDPR compliance.
